The role of Executive Assistant, Office of the President represents a unique opportunity to work in a fast pace, collaborative environment. The EA is a critical member of the Office of the President and will work with a small but highly motivated team to ensure the seamless coordination and execution of MediaMath’s highest level strategic priorities. An ideal candidate for the role should be eager to take on challenging tasks and be motivated to articulate creative processes to maximize efficacy and outcomes. We seek a problem solver who is comfortable with navigating ambiguity and who will serve as a trusted business partner to the team.


Calendar Management & Prioritization:

  • Understand, optimize, and execute meeting intake process to swiftly arrange both internal and external meetings. In doing so, the ideal candidate should apply strategic thinking and logic to maximize the President’s time and energy.

  • Work closely with the Chief of Staff to understand and keep a pulse on high priority business objectives such that they are reflected in the President’s allocation of time.

  • Ensure meeting instructions (i.e. time, date, location, etc.) are free from error and accurately socialized to relevant parties.

  • Work closely and collaborate with the existing network of Executive Assistants to ensure efficiency and amiability when coordinating meetings and events when applicable.

  • Proactively engage President as well as other meeting participants to ensure adherence to schedule.

Meeting Preparation:
  • The Office of the President is accountable to ensure that all meeting objectives are realistic, that preparation is appropriate, and that the President is well-prepared. As such, the EA will work closely with the Chief of Staff to create or request, and deliver key agenda items to be addressed at any relevant meetings.
  • Must proactively assess whether all parties involved are aware and in agreement as to who is on point as well as accountable for key deliverables. This requires, by the EA, clear and often redundant communication of meeting instructions and, often, objectives to both internal and external parties.
  • Manage administrative logistics, for example, booking rooms, assisting with simple IT requests (owning dial-in coordination, video conferencing, etc.), providing snacks/drinks, printing documents, etc.
Travel Coordination:
  • Coordinate and manage the President’s business travel plans, both domestic and international with travel preferences ensured.
  • In advance of any and all travel, work with the region liaisons to secure meetings, coordinate calendars, and communicate key information that continue to drive business critical items.
  • Use tools available to create itineraries that detail key logistical considerations such as location, transit method, time zone, boarding passes, confirmation numbers, maps, etc. for each trip
  • For out of office events and conferences, work closely with various event coordinators to ensure registration, has a designated rooms or locations to take meetings, and has aligned with internal parties on key outcomes.

Master of Record:

  • The EA will be Master of Record. This is to be interpreted as owner and logger of all log- in/password data, travel, dining and in-office preferences, as well as all contacts.

  • Define and apply an efficient process to manage Master of Record database. The EA is encouraged to explore ways to optimize database management with both internal resources and third-party tools.


  • Work closely with the Chief of Staff in planning and executing all meetings and events for the Senior Leadership team.

  • Develop and maintain cordial relationships with colleagues and executives both within the organization and externally.

  • General openness to taking on ad hoc tasks with limited instruction by developing thorough, well-though out action plans to facilitate prosecution.



This is not an exhaustive list of responsibilities. As part of our global technology team, you may be required to be work off-hours or be on-call on a rotating basis. Other duties may be assigned, as needed. MediaMath retains the right to change job duties at any time.


  • Bachelor’s degree required

  • 5+ years’ experience supporting a C-level executive strongly preferred

  • High level of proficiency with Microsoft Office suite, in particular Outlook

  • Desire to work in a fast pace, often ambiguous environment

  • Acute attention to detail

  • Creative and ‘outside-the-box’ thinking

  • High level of confidentiality and discretion

  • Tech savviness a plus

  • Must have an open mind to constructive feedback and eagerness to learn
