We are seeking a process oriented Executive Assistant for founder and CEO, Joe Zawadzki. 

 

The CEO’s EA is a critical member of the Office of the CEO and will work with a small but highly motivated team to ensure the seamless coordination and execution of MediaMath’s highest level strategic priorities.

 

The right person will work closely and effectively with the CEO by anticipating needs, actively seeking out solutions and implementing process improvements.

 

An ideal candidate for the role should be eager to take on challenging tasks and be motivated to articulate creative processes to maximize efficacy and outcomes.

 

 

We seek a problem solver who is comfortable with navigating ambiguity and who will serve as a trusted business partner to the team.

Responsibilities

  • Manage an extremely active calendar of appointments; compile and prepare correspondence; arrange complex and detailed travel plans, itineraries, and agendas; and assemble documents for travel-related meetings
  • Answer, screen and route CEO’s incoming correspondence (phone, mail, email etc.)
  • Plan, coordinate and ensure the CEO's schedule is followed and respected. Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office
  • Act as liaison between CEO and clients, vendors, etc. Ensure smooth communication with internal departments
  • Working with Chief of Staff prioritize conflicting needs with efficiency and precision. Proactively determine and implement ways to reduce calendar conflicts
  • Complete critical aspects of deliverables and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem solving; adjusting plans and follow-through on projects to successful completion

 

This is not an exhaustive list of responsibilities. As part of our global team, you may be required to be work off-hours or be on-call on a rotating basis. Other duties may be assigned, as needed. MediaMath retains the right to change job duties at any time.

 

 

Qualifications

Background

  • Bachelor’s in business or a relevant field degree required
  • 7+ years’ experience supporting a C-level executive in a fast paced, often ambiguous environment

 

Skills

  • High level of proficiency with Microsoft Office suite, in particular Outlook
  • High volume Calendar Management & Prioritization
  • Well versed coordinating and managing the C level business travel plans, both domestic and international with travel preferences ensured.
  • Experienced as owner and logger of all log-in/password data, travel, dining and in-office preferences, as well as all contacts.
